1. Who we are
Tachlogic is a shop-management software platform owned and operated by FORMULAIC LLC, an Illinois limited liability company ("FORMULAIC," "Tachlogic," "we," "us," or "our"). This Privacy Policy explains what information we collect, why, who else sees it, and how long we keep it. It applies to the tachlogic.com website and to the Tachlogic application at app.tachlogic.com (together, the "Service").
Tachlogic is sold to businesses, not to consumers. Using the Service is also governed by our Terms of Service.
2. Two different kinds of information — this part matters
In short: we decide how your shop's account information is handled. We do not decide how your customers' records are handled — your shop does, and we only act on your instructions.
Almost every privacy policy assumes that everyone it describes signed up on a website. That is not true here, and the distinction changes who is responsible for what.
Shop and user information. When a shop signs up and its team members log in, we are the ones deciding how that information is used — to run your subscription, keep you signed in, and support you. For this information, FORMULAIC LLC is the controller and this Policy describes what we do.
Your shop's business records. The customers, vehicles, invoices, estimates, inspections, and payment records your shop enters belong to your shop. Most of the people described in those records — vehicle owners and other customers of your shop — have never visited our website and have no direct relationship with us. For this information we act as a service provider processing data on your shop's behalf and under its instructions. We do not use it for our own purposes, we do not mine it, and we do not sell it. Your shop is responsible for having the right to collect that information and for honoring its own customers' privacy, as set out in Section 7 of the Terms.
If you are a customer of a shop that uses Tachlogic and you want your information corrected or deleted, see Section 10.
3. Information we collect
Information you give us
- Shop and account details — business name, address, phone number, email address, tax identification number, business logo, and the name, email address, and role of each team member you invite.
- Support and sales enquiries — anything you send us by email or through the support and demo-request forms, including your name, email address, and the contents of your message.
Business records you enter into the Service
These are your shop's records. Depending on which features you use, they can include:
- Customer details — names, phone numbers, email addresses, mailing addresses, and notes your staff record.
- Vehicle details — vehicle identification numbers (VINs), licence plate and unit numbers, make, model, year, and odometer readings.
- Service and financial records — estimates, invoices, statements, inspection results, parts and labor lines, warranty claims, and payment records.
- Signatures. When a customer signs an estimate or repair authorization, we store the drawn signature together with the date and time, the signer's IP address, and their browser and device description. This is deliberate: it is what makes a signed authorization evidence of who agreed to what.
- Photographs taken during digital vehicle inspections. If you upload these from a phone, the app asks for camera access at that moment; you can decline and choose an existing file instead.
- Employee time-clock records, if your shop uses the time clock.
- Bank account and transaction information, if your shop connects a bank account for reconciliation. This connection is made through Stripe Financial Connections; we receive account details and transaction history for matching against your records, and we never receive your banking credentials.
Payment information
We do not store card numbers. Your subscription payments and any card payments your shop takes from its own customers are processed by Stripe, and card details are entered directly into Stripe's systems or captured by a Stripe card reader. We see only limited records such as the amount, the date, the payment method type, and the last four digits.
Passwords
We never receive your password. Sign-in is handled by Auth0, and passwords are set and stored there. When you change your password from inside the app, we ask Auth0 to email you a single-use link and the new password is entered on Auth0's page — it never passes through Tachlogic's servers.
Information collected automatically
- Technical and log data — IP address, browser type and version, device and operating system, the pages and features accessed, and the date and time. Our hosting providers record this to run and secure the Service.
- Error reports. When something breaks, a diagnostic report is sent to our error-monitoring provider so we can fix it. These reports are configured to exclude request contents and cookies, and we do not use session recording or behavioral tracking.
We do not collect precise location. The Service does not request GPS or device location.
4. How we use information
- To provide the Service — creating and displaying your records, generating documents, sending the emails you ask us to send, and processing payments.
- To create accounts, authenticate users, and keep accounts secure.
- To bill your subscription and manage your free trial.
- To provide support and respond to what you send us.
- To keep the Service working — diagnosing errors, preventing abuse and fraud, and maintaining backups.
- To send service and administrative messages about your account, billing, or material changes to the Service. These are not marketing and you cannot unsubscribe from them while you hold an account.
- To send marketing emails, only if you asked for them by signing up on our website. Every marketing email has an unsubscribe link.
- To comply with law and to establish or defend legal claims.
5. What we do not do
In short: no selling, no advertising, no analytics or tracking pixels of any kind.
- We do not sell your information, and we do not share it for cross-context behavioral advertising.
- We run no advertising technology. There are no ad networks, no advertising pixels, and no retargeting on our website or in the application.
- We run no analytics products. There is no Google Analytics, Tag Manager, or comparable product on our website or in the application.
- We do not use your shop's business records to train models, build profiles, or create products, and we do not disclose them to anyone except the providers listed below and where the law requires.
6. Who else receives information
In short: the complete list is below. Each provider gets only what it needs to do its job.
We use the following providers to operate the Service. They are bound to use the information only to provide their service to us.

We may also disclose information where the law requires it, to respond to lawful requests, to protect our rights or the safety of others, or in connection with a merger, acquisition, or sale of assets — in which case we will require the recipient to honor this Policy.
If we add a provider that receives personal information, we will update this list and change the "Last updated" date.
7. Cookies and similar technologies
We use only what is necessary to make the Service work: keeping you signed in, keeping your session secure, and remembering preferences such as light or dark mode. We do not use advertising or analytics cookies, and because of that we do not display a cookie consent banner or offer tracking-based opt-outs — there is nothing of that kind to opt out of. Your browser can block or clear this storage, though signing in will stop working if you do.
8. How long we keep information
- While your account is open, your shop's business records are kept so they remain available to you. We do not automatically delete invoices, customers, or vehicles — shops rely on that history, and tax and consumer-protection rules often require it.
- After an account is closed, we retain data for a wind-down period of up to 90 days before deleting it from active systems, unless a longer period is required by law. You can ask us to delete it sooner.
- Short-lived technical records are removed automatically on a schedule: expired file-upload links after 2 days; expired estimate and approval links after 90 days; payment-processor event records after 180 days; abandoned auto-saved drafts after 90 days.
- Backups are kept for disaster recovery and age out on their own cycle, so information may persist in a backup for a period after deletion from active systems.
- Marketing list — we keep your details until you unsubscribe.
9. How we protect information
We take security seriously and review it regularly. Measures in place include encryption in transit, isolation of each shop's data so one shop cannot reach another's, role-based access limiting what each team member can see, restricted and audited administrative access, automated daily database backups, and monitoring for errors and abuse.
No system is perfectly secure and we cannot guarantee absolute security. You should keep your own copies of records that are critical to your business, and tell us promptly at contact@tachlogic.com if you believe an account has been accessed without permission.
10. Your choices and your rights
If you are a shop using Tachlogic
You can view, correct, export, and delete your records at any time inside the app, including after a subscription lapses — a lapsed account becomes read-only but never blocks access to your own data. To close your account or request deletion, email contact@tachlogic.com.
If you are a customer of a shop that uses Tachlogic
Your information was entered by the shop that served you, and that shop decides how it is used. Contact the shop directly to see, correct, or delete your records — they can do all of that themselves. If you cannot reach them or you do not know which shop holds your details, email us at contact@tachlogic.com and we will help you identify the shop and pass on your request. We will act on the shop's instructions, and we will not delete a shop's business records without its involvement except where the law requires us to.
Marketing
Every marketing email includes an unsubscribe link, and unsubscribing is immediate. It does not affect service messages about your account.
US state privacy rights
Depending on where you live, you may have the right to know what personal information we hold about you, to obtain a copy, to correct it, to delete it, and not to be discriminated against for exercising those rights. Because we do not sell personal information or use it for cross-context behavioral advertising, there is no opt-out of sale or sharing to offer. To exercise any right, email contact@tachlogic.com or use our data request form. We will verify your identity before acting, and we will respond within the time the applicable law allows. You may appeal a refusal by replying to our decision.
Do Not Track
We do not track users across other websites, so there is no behavior for a Do Not Track signal to change.
11. Children
The Service is for businesses and is not directed at children under 18, and we do not knowingly collect their personal information. If you believe a child's information has reached us, email contact@tachlogic.com and we will delete it.
12. Where information is held
The Service is operated in the United States and information is stored and processed there. If you access it from elsewhere, you are sending information to the United States, where privacy laws may differ from those where you live.
13. Changes to this Policy
We may update this Policy as the Service changes. The "Last updated" date at the top always reflects the current version. For material changes we will give notice by email, in the app, or both. Continued use after a change takes effect means you accept the updated Policy.
